Brief Overview of Position 

We are seeking an Administrative Support Associate that will serve as our first point of contact at the Wayfair store. They will report directly to the Senior Store Manager with a dotted line support to the Talent Business Partner. The Store Administrative Assistant is responsible for providing reception and administrative support to the Store Leadership Team with regard to greeting guests, answering phones and directing calls, store documentation, electronic communications, systems administration, program compliance, recordkeeping, store supply maintenance and general administrative functions.

Essential Functions 

  • Manage all incoming calls, including associate callout log. Notifies managers timely, in the event of an emergency or callouts. 
  • Supports the Talent Partner with training and compliance completions, and new hire orientation to include, coordination and preparation for new hire orientation (prepares packets), meetings, hiring event preparation and any other meetings, events, and initiatives as it relates to our associates. 
  • Supports the store with scheduling by auditing posted schedules to ensure they are updated and posted in a timely manner. 
  • Supports a strong safety culture by managing administrative tasks related to safety training, such as ensuring that documentation is up-to-date on PIV/equipment certifications and support reissuing up-to-date certifications, alongside the Asset Protection team and Talent Partner. 
  • Tracking, ordering and maintaining supplies and uniforms for the store. 
  • Organizing the break and training rooms and any communication boards, as needed (ex: support the decor for events and seasons, updating communication boards, ensuring adequate supplies for events). 
  • May support with other administrative functions such as helping to plan store events and managing guest lists, and keep offices, processes and organizations running smoothly 
  • Perform other tasks as assigned by management 

Education Qualifications

  • High school diploma or equivalent. (Required) 
  • Bachelor's Degree in Business or a related field (Preferred) 

Experience Qualifications

  • 1-3 years Experience working in a retail environment. (Required)
  • 1-3 years Administrative experience such as processing data, monitoring and tracking information, and using office/google software. (Required)
  • 1-3 years Administering employee information such as equipment certification, training tracking and recordkeeping, etc. (Preferred)
  • 1-3 years Experience working in a cross-functional team environment with exempt and non-exempt staff. (Preferred)

  • Multi-tasking skills and presentation skills. (High proficiency)
  • Possess excellent organizational skills, with attention to detail and accuracy. (Medium proficiency)
